Can I define a customized travel policy?

Yes. How does the travel approval flow work?

Each request follows the flow the company defines: automatic approval when it fits the policy, direct manager approval, or a tiered flow for amounts above the limit. Approvals run on the platform itself, by email or app, and the traveler is notified as soon as booking is released. Nothing is issued without the right approval.

How do I keep my company's rules?

Rules are entered once and applied to every trip: travel policy, spend limits, cost centers, approvals and approved suppliers. Every booking is validated against those rules in real time, and any deviation becomes an exception requiring justification and approval. Reports and audit logs show who approved what, keeping your company in control from start to finish.

What happens when a booking falls outside the travel policy?

At booking time, the platform validates every option against the configured policy. If the fare, class, lead time or supplier breaks the rule, the option is flagged as an exception. You set value thresholds that release the booking automatically when the request is within policy and below the configured ceiling. Above that limit, or in case of an exception, the booking is blocked and goes to manual approval. How is governance applied during the corporate purchase?

During the purchase, the platform checks the request against the policy, the limits and the approvers for that cost center in real time. The booking, payment, policy validation and approval all happen within Loupit, and issuance is completed by the agency that won the comparison. The full trail is recorded for expense reporting.

Is the price I see in the comparison the final price I pay?

Yes. The fare shown in the comparison already includes the agency's taxes and fees, so the amount you approve is the amount the company pays — no surprise service charge at issuance. When there is a difference in service fees between agencies, it is shown transparently on screen so you can weigh it in the total cost of the trip, alongside stops, times and baggage rules.

Can I compare the same trip across several agencies at the same time?

Yes — that is exactly how real-time comparison works. A single search sends the same request to every agency the company approved, and the quotes arrive together on one screen, already sorted by price, time and policy compliance. Who issues the ticket after I buy in the marketplace?

The agency that won the comparison. Loupit does not issue the ticket: it connects your company to the agencies and makes them compete in real time. When you pick the best option, the responsible agency completes issuance inside the platform itself, with payment, policy and approval already validated. So your company keeps the human service of an agency and gains the transparency and savings of the marketplace.

Does direct purchase in the marketplace work for every service?

Yes. The same real-time comparison and direct purchase on the platform apply to flights, hotels, car rentals and bus travel. In each category your company receives quotes from every approved agency, compares them side by side and closes the booking in Loupit — always within policy, with approval at the right level and a complete record for expense.

How does real-time comparison guarantee I am seeing the best fare?

Because the same request is sent simultaneously to every agency the company selected, and each one returns the fare it can actually issue at that moment — with real availability and inventory. What is a corporate travel policy and why does it matter?

It is the set of rules that defines how your company travels: who can request, which classes and limits are accepted, how far in advance to book, which suppliers are preferred and how expenses are reimbursed. Can I have more than one approval level?

Yes. You define approvers per cost center, amount or type of deviation, with multiple levels and backups for holidays and absences, so no request stalls waiting on a single person.

Does the approver have to log into the system?

They receive a notification with the request summary and approve in a few clicks, from the app or the browser. Every approval is recorded in the audit trail regardless of the channel.

What if the fare changes between request and approval?

The platform revalidates the fare at issuing time. If the price moved, the approver sees the difference before confirming; and if the trip was already issued, Rebook and SkyAlert flag price drops and let you rebook at the new fare.

How long does the process take in practice?

What does coverage of more than 150 sites mean?

It means each search queries, in parallel, more than 150 distinct points of sale: corporate agencies approved by your company, GDS, OTAs, consolidators and official sites of airlines, hotel chains and rental companies. Each site is counted once, even when reachable through more than one technical path.

Is coverage the same for air, hotel, car and bus?

The methodology is identical — parallel dispatch, normalization and deduplication — but the source set changes per product. Air and hotel have the largest number of sources; car and bus concentrate on rental companies, bus operators and specialized OTAs.

Does coverage change from company to company?

Yes. Part of the sources are the agencies your company selects and approves in the marketplace, so the final list varies with that onboarding, the searched route and the product. That is why we publish “150+” as a floor rather than a fixed number.

How do I know where each price on screen came from?

Every quote shows its source, the time it was retrieved and the fare conditions. That information follows the request through approval and stays in the audit trail, along with the alternatives available at that moment.

Is policy applied before or after the search?

During it. Policy is loaded together with the request, so results arrive already tagged in or out of policy, with per-leg caps, allowed cabin and minimum advance purchase factored into the ranking itself.

Can we have different rules per department, seniority or cost center?

Yes. Parameters are per company and support distinct rules by business unit, cost center, seniority, trip type and destination — including different caps for domestic and international legs.

What happens when someone picks an out-of-policy option?

The option stays visible but requires a justification and escalates automatically to the matching approval level. The choice, the justification and the price of the in-policy alternative are all recorded for audit.

How is the approval flow defined?

You define levels and thresholds: direct manager, director, committee or automatic approval below a given amount. The flow is triggered by the request itself — no spreadsheet, side email or verbal sign-off.

Does the approver need fare expertise to decide?

No. They see the trip summary, the policy tag, the chosen price, the compared alternatives and the savings against the most expensive option. The decision takes a few clicks, in the browser or the app.

Which reports are available after the purchase?

Spend by period, cost center, traveller, supplier and product; realized savings against the most expensive option; policy adherence; average advance purchase; and expense reconciliation, with CSV and PDF export.

How is the savings figure in reports calculated?

We compare the normalized final price of the purchased option with the alternatives present in the same search, including fees, baggage and fare rules. Because quotes are recorded, the number is auditable rather than a marketing estimate.

Does the audit trail show every decision?

Yes. It records the request, the quotes received with source and timestamp, the chosen option, the justifications, each approval with author and date, the issuing and the reconciled expenses.
